Essential Duties and Responsibilities - Other duties may be assigned • Performs customer service functions by answering employee requests and questions maintaining departmental phone and communication systems. • Responsible for ensuring new hire packets are accurate and complete. • Verifies I-9 documentation and verification of all other new hire paperwork for accuracy. • Responsible for maintaining accurate and up to date employee files by filing papers and documents into appropriate employee files. • Maintains the human resources centralized e-mail ensuring prompt response and designation of each e-mail, form, inquiry. • Assists with processing of human resources related paper work related to all functions of the department • Assists Human Resources Director with various research projects and/or special projects. • Assists with recruitment and interview process as needed. • Schedules meeting and interviews as needed. • Monitors and organizes human resources paperwork and scanning ensuring quality and accuracy. • Responsible for maintain confidentiality of all human resources, employee and company information. • Assists human resources staff as needed. • Performs all other duties as assigned. KEY Qualifications: • Knowledge of Facilities Management • Union vs. Non-union • Leadership • Prioritize work • Adaptability • Customer Service Education and/or Experience : One to two years related experience and/or training as Human Resources preferred. Experience in office professional or departmental support role. Experience necessary in key legal and operational aspects of the human resource environment; including performance management. Communication Skills Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence via email and communicate well over the phone. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. Customer Service Skills Ability to apply common sense understanding to carry out detailed but noninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. Positive attitude to promote successful team environment and strong work ethic and sense of integrity. Computer Skills Proficient with Microsoft Office, spreadsheet software, and Word processing software. Must have experience with HRIS databases and employee file management.
